How to Use This Calculator
What is the Fleet Cost Calculator?
This free tool helps you understand the true total cost of ownership (TCO) for your vehicle fleet. By calculating all direct and indirect costs including depreciation, fuel, maintenance, drivers, and overhead, you can make informed decisions about fleet management, vehicle selection, and budget planning.
Related Tools
For individual vehicle ownership analysis and other calculator options, head back to JupitersBusiness.com. The main site includes the vehicle cost calculator card and smaller fleet calculator options in one place.
The calculator supports different fleet types, each with specific cost considerations:
Delivery Vehicles: Vans and trucks used for delivery services with high mileage requirements
Passenger Vehicles: Cars and SUVs for sales teams, executive transport, or employee travel
Commercial Trucks: Heavy-duty vehicles for freight and logistics operations
Mixed Fleet: Combination of different vehicle types for diverse operations
Specialized Equipment: Construction vehicles, agricultural equipment, or specialized machinery
Understanding Fleet Costs
Comprehensive fleet cost analysis includes both obvious and hidden expenses:
Vehicle Depreciation: The largest hidden cost - vehicles lose value over time
Fuel Costs: Based on mileage, efficiency, and current fuel prices
Maintenance & Repairs: Regular service plus unexpected breakdown costs
Insurance & Registration: Required coverage and government fees
Driver Costs: Salaries, benefits, training, and turnover expenses
Technology: GPS tracking, fleet management software, and communication systems
Facilities: Parking, storage, maintenance facilities, and office space
Compliance: Regulatory requirements, inspections, and safety training
How to Calculate Fleet Costs
Enter Fleet Information: Number of vehicles, fleet type, and average vehicle value
Set Vehicle Lifespan: Expected useful life for depreciation calculations
Input Operating Costs: Fuel efficiency, mileage, maintenance, and repair estimates
Add Driver Information: Number of drivers, salaries, and benefits overhead
Include Additional Costs: Technology, facilities, compliance, and training expenses
Click "Calculate Fleet Cost": See comprehensive cost breakdowns and projections
Key Metrics Explained
Total Annual Fleet Cost: All costs combined for one year of operation
Cost Per Vehicle: Annual cost divided by number of vehicles - useful for comparison
Cost Per Mile: Total cost divided by total annual mileage - key efficiency metric
Total Cost of Ownership: All costs over the vehicle's lifespan including depreciation
5-Year Total Cost: Projected costs over a typical vehicle ownership period
Tips for Reducing Fleet Costs
Optimize vehicle selection: Choose right-sized vehicles for your specific needs
Improve fuel efficiency: Regular maintenance, driver training, and route optimization
Preventive maintenance: Regular service reduces costly breakdowns and extends vehicle life
Driver management: Monitor driving behavior, reduce idle time, and incentivize efficiency
Technology investment: GPS tracking and fleet software can reduce costs significantly
Right-sizing: Regularly assess if you have too many or too few vehicles
Alternative fuels: Consider electric or hybrid vehicles for appropriate applications
Lifecycle management: Replace vehicles at optimal time to minimize TCO
Privacy & Security
Local-only by design: this version does not send calculator inputs, uploaded fleet files, or generated reports to analytics services, form processors, or third-party data tools. Your operational data stays on the computer you are using unless you deliberately export it.

This calculator is a decision-support tool for financial controllers, accountants, and operators. Results depend on the assumptions and source data entered, so they should be reviewed alongside your accounting policies, lease terms, tax treatment, and internal approvals before being used for formal client advice or statutory reporting.
Privacy Notice
The calculator keeps working data in browser memory only for the current session, apart from your theme preference. Travel Reimbursement Rates
The Travel Reimbursement Rates mode can use either the built-in NZ IRD schedule or your own custom reimbursement rules for other countries, agencies, or internal company policies:
Rates used in this calculator: issued 30 May 2025 for the 2024-2025 income year
Tier 1 Rates: Apply to first 14,000km per year (includes both fixed and running costs)
Tier 2 Rates: Apply to travel over 14,000km per year (running costs only)
Vehicle Types: Petrol ($1.17/$0.37), Diesel ($1.26/$0.35), Hybrid & PHEV ($0.86/$0.21), Electric ($1.08/$0.19) per km
PHEV Vehicles: Use hybrid rates for plug-in hybrid vehicles
Custom option: Switch to a single custom rate or a threshold-based tiered rate and enter your own currency and reimbursement values
Tax Compliance: NZ rates are IRD-approved; custom rates should be checked against your own local rules or internal policy
How to Use Travel Reimbursement Rates:
Select either NZ IRD, Custom Single Rate, or Custom Tiered Rates
If using NZ IRD, choose the vehicle type; if using custom, enter your own rate name, currency, and rate values
Enter the travel distance for your business trip
Enter your expected annual business distance for the year
The calculator applies the correct published or custom rate logic and includes it in the downloaded report
Important Notes:
Keep accurate records of business travel for tax purposes
Separate business from personal travel mileage
These rates are reviewed annually by IRD
Employers can use these rates for employee reimbursement calculations
